Start with the top two, Buyer Consultation and Showing Request. Add the others once you've got the system running smoothly.
Go to Calendly.com and sign up free. Connect your Google Calendar or Outlook, Calendly reads your existing calendar so it only shows times you're actually free. Set your working hours (e.g., Monday–Saturday, 9am–6pm). Set a minimum notice period of 2 hours so no one books a showing for right now. Set a maximum advance booking of 30 days so your calendar doesn't fill up 3 months out.
In Calendly, click "Create New Event Type." Set it to 45 minutes, add a buffer of 15 minutes after each appointment. Write a description: "Let's talk about your home search, what you're looking for, your timeline, and how I can help. No pressure, no obligation." Add your 5-question intake form (see below). Enable email and SMS confirmation automatically. Set a Zoom link or choose "In-person, I'll send details after booking."
This is the most important step. Before anyone books, collect this information: (1) Are you pre-approved for a mortgage? (2) What is your target price range? (3) What neighborhoods or areas are you interested in? (4) What is your ideal move-in timeline? (5) How did you hear about me? This pre-qualifies leads before you spend time with them and tells you exactly what to say in the meeting. In Calendly Pro, add these as required fields on the booking form. In Acuity, use the "Intake Forms" feature.
In Calendly's "Workflows" section (Pro plan) or in Acuity: Set up these 4 automated messages, (1) Instant confirmation: "You're booked! Here's what to expect..." In Zapier, create a Zap: Trigger = "New Calendly Invitee Created." Action = "Create Contact in HubSpot." Map the fields: Name, Email, Phone, Notes (intake answers). Add a second action: "Add Contact to HubSpot List" and choose your "New Buyer Leads" list. This automatically kicks off any email drip sequence you have for new leads. No more manually entering contact info. Every single booking goes straight into your CRM.
"Are you currently pre-approved for a mortgage?" Options: Yes (with lender) / In process / Not yet / Paying cash
"What is your target purchase price range?" Let them type it in, you learn more from how they answer than from a dropdown.
"Which neighborhoods, zip codes, or areas are you most interested in?" This tells you if they're a good fit for your farm area.
