Go to wave.com → Sign up free. Wave is completely free invoicing + accounting. Perfect for photographers.
Create Invoice Templates
Go to Invoices → Templates. Create one for each session type (Engagement, Wedding, Portrait). Include:
- Your studio name & logo
- Session type & date
- Package breakdown (editing, prints, etc.)
- Payment terms: "50% due at booking, 50% due before delivery"
- Payment methods: Check, Venmo, PayPal, card
Set Up Payment Reminders
In Wave, go to Settings → Reminders. Set automatic invoice reminders:
- Reminder 1: Due date (Day 0)
- Reminder 2: 5 days overdue (Day 5)
- Reminder 3: 10 days overdue (Day 10)
Customize the message. Example:
Hi [Client], Just a friendly reminder: Your [session type] invoice is due today. Payment keeps us on track for your gallery delivery. Pay here: [payment link] Thanks! [Your Studio]
Step 2: Automate Deposit Collection (5 min)
Collect Deposits at Booking
When couples book via Calendly, automatically send an invoice for the 50% deposit. You can do this manually in Wave or automate with Zapier:
