Automate Lead Follow-Up with Zapier (Step by Step)

The 5-Step Setup
We're going to build this in Zapier together. Each step takes about 5 minutes. Start to finish: under 30 minutes.
Step 1
Connect Your Lead Source as the Trigger
In Zapier, every automation starts with a "Trigger", the event that kicks things off. Your trigger is a new lead coming in.
Log into Zapier and click "Create Zap." In the Trigger section, search for where your leads come from:
- Contact form on your website? Search "Typeform," "Gravity Forms," "Formspree," or "WPForms"
- Facebook Lead Ads? Search "Facebook Lead Ads"
- Google Forms? Search "Google Forms"
- Direct email? Search "Gmail" and trigger on specific subject lines
Select your form tool, click "Connect Account," and log in. Then choose the specific form you want to trigger on (e.g., your "Contact Us" form).

๐ก Tip: Test the trigger by submitting a dummy form entry. Zapier will find your test submission so you can map the fields in the next steps.
Step 2
Send an Instant Confirmation Email
Click the "+" button to add an Action. Search for "Gmail" (or Outlook) and choose "Send Email."
Configure the email fields:
- To: Click into the field and select the "Email" field from your form (the lead's email address)
- Subject: "Got your message, [First Name]! Here's what happens next"
- Body: Write a friendly message (template below)
- From Name: Your business name
This email goes out within 5 minutes of the form submission, even at 2am.

Step 3
Add the Lead to Your CRM
Add another Action. Search for "HubSpot" (or whatever CRM you use) and choose "Create Contact."
Map the fields from your form to HubSpot:
- First Name: โ Select "First Name" from your form
- Last Name: โ Select "Last Name" from your form
- Email: โ Select "Email" from your form
- Phone: โ Select "Phone" from your form (if you collect it)
- Lead Source: Type "Website Form" so you know where they came from

Step 4
Create a Follow-Up Task for Day 3
Add another Action. Search for your task manager, HubSpot Tasks, Google Tasks, Todoist, or Trello.
Create a task that says: "Follow up with [First Name] [Last Name], check in on their inquiry"
Set the due date to 3 days from now. In Zapier, you can use the formula field and enter: today + 3 days
Now every new lead automatically generates a reminder to follow up, you'll never forget again. You can create a second task for Day 7 as a backup touch.

๐ก Tip: HubSpot lets you create tasks that appear in your "Today" view. This is the easiest way to manage lead follow-up if you're new to CRMs.
Step 5
Enroll the Lead in a Nurture Email Sequence
Add a final Action. Search for "Mailchimp" and choose "Add/Update Subscriber."
Select the audience/list you want to add them to. Then add a tag like "new-lead-2026", this tag will automatically trigger a pre-built email sequence in Mailchimp.
In Mailchimp, create a simple 3-email automated sequence:
- Day 1: Welcome + what to expect (sent by Zapier in Step 2)
- Day 4: Educational content relevant to their inquiry
- Day 10: Social proof / case study / offer
Turn on your Zap. Every future lead goes through this entire process automatically.

Do I need to know how to code to set this up?
No coding at all. Zapier is entirely point-and-click. If you can fill out a form online, you can set up a Zap. The most technical thing you'll do is copy-paste an email template.
What if I already have a CRM, do I need HubSpot?
No. Zapier connects to almost every CRM, Salesforce, Pipedrive, Zoho, ActiveCampaign, and more. In Step 3, just search for your CRM instead of HubSpot. The setup is almost identical.
Will leads know these emails are automated?
Not if you write them well. The key is using their first name (which Zapier pulls automatically from the form), writing in a conversational tone, and including your real phone number. Most leads just think you're very responsive.
How many leads can I handle per month on Zapier's free plan?
