The Problem with "Email Me to Schedule"
Every time a potential client has to send you an email, wait for a reply, go back and forth twice to find a time, and then manually add it to their calendar, you lose a percentage of them. Some book a competitor who made it easier. Some just never follow through.
Automated booking solves this. A link on your website, in your email signature, in your social profile, and on your referral partner's site, anyone can book a time with you in under 60 seconds. You get a calendar invite, they get confirmation and reminders. Nobody plays phone tag.
But the real magic is the intake form. A good pre-consultation intake form means you walk into every call already knowing the client's credit situation, income range, target home price, and timeline. You look like a pro from the first minute.
Tools You'll Need
Your 3 Booking Page Types
Don't just create one generic "Book a Call" page. Different leads have different needs. Here are the three booking types every mortgage broker should have:
Create Your Three Booking Pages in Calendly
Go to calendly.com and create a free account. Connect your Google or Outlook calendar, this is how Calendly knows when you're available.
Create three event types (upgrade to Essentials at $8/month to have all three active). For each one, set your availability window. Mortgage brokers typically do well with morning slots before 10 AM and evening slots after 5 PM, that's when buyers are available and focused.

Name your booking pages clearly: "15-Min Free Pre-Qual Call with [Your Name]" converts better than "Consultation." The word "Free" in the title matters, it lowers the barrier to booking.
Set buffer time: 10 minutes before and after each appointment. You don't want a consultation running into another call, and you need time to pull up your intake form answers before each call starts.
Build Your Pre-Qualification Intake Form
This is what separates top-producing mortgage brokers from average ones. When someone books a consultation and fills in your intake form, you walk into the call already knowing their situation. Add these questions to your Full Mortgage Consultation booking type in Calendly:
| Question | Type | Why You Need It |
|---|---|---|
| Are you buying, refinancing, or just exploring? | Multiple choice | Lets you prepare the right information |
| What's your target purchase price range? | Multiple choice ($200K–$300K / $300K–$500K / $500K+) | Loan amount affects rate, program options |
| How would you estimate your credit score? | Multiple choice (Excellent 740+ / Good 680–739 / Fair 620–679) | Critical for rate and program eligibility |
| What's your approximate annual household income? | Multiple choice (ranges) | Debt-to-income qualification |
| Are you currently working with a real estate agent? | Yes / No / Not yet | Referral opportunity if "No" |
| What's your ideal closing timeline? | Multiple choice (ASAP / 60–90 days / 6 months+ / Just exploring) | Prioritize hot leads |
| How did you hear about me? | Text field | Track referral sources |

These questions take about 90 seconds to answer. Most buyers are happy to fill them out, it shows them you're professional and prepared. Your no-show rate also drops when clients have invested effort in booking.
Set Up Confirmation and Reminder Sequences
Calendly sends automatic confirmation emails. Customize them so they sound like you wrote them, not like a robot. Go to Event Settings → Notifications and customize these three touchpoints:

Create Referral Partner Booking Links
Your referral partners, real estate agents, financial planners, CPAs, are your best lead source. Make it effortless for them to send clients to you by giving each partner their own personalized booking link.
In Calendly, you can use UTM parameters or custom routing links. Create a page that says "Book with [Your Name], Referred by [Partner Name]." This does two things: it tells the prospect they're in the right place, and it tells you which partner sent them.
Send this to your top 5 referral partners. Agents love it, it makes them look responsive to their clients, and you look like a pro.
Set Up No-Show Recovery Automation
When someone books and doesn't show up, most brokers do nothing. That's a mistake. A booked lead is a warm lead, they were ready to talk to you. Use Zapier to trigger a recovery sequence:

Rachel, Mortgage Broker, Phoenix, AZ
Rachel was losing an estimated 30% of her inbound leads to "phone tag limbo", people who expressed interest but never converted to a consultation. She set up Calendly with a 15-minute pre-qual call, added a 7-question intake form, and put her booking link everywhere: email signature, Facebook profile, LinkedIn, and on her website homepage.
She also created a custom booking link for her top real estate agent partner ("Book a Call with Rachel, Referred by Lisa Kim"). The agent started including the link in her buyer welcome packages.
Within 60 days, Rachel's consultation volume had increased by 40%. Her no-show rate dropped from 28% to 9%. The intake form meant she was closing more consultations because she came in prepared with the right program already in mind.
