The Hidden Cost of "Text Us to Book"
Every time a client has to text you, wait for a response, and go back and forth to find an open slot, you lose a little bit of their goodwill. Some book a competitor who had an online form. Some forget to follow through. A few are turned off enough to never come back.
Online booking removes all of that friction. A client can book their Goldendoodle's grooming appointment at 10 PM from their couch, and wake up the next morning with a confirmation already in their inbox.
The intake form is the other piece most groomers miss. When you know the dog's breed, age, temperament, and any health concerns before they arrive, you're more prepared and your clients feel like you actually care about their pet.
Tools You'll Need
Which tool should you pick? If you're a professional grooming salon and want one tool for everything (booking, client profiles, reminders, payments), MoeGo is worth the monthly cost. If you're a solo groomer just getting started and want something free, start with Calendly, you can upgrade later.
Create Your Service Types
Your booking page should list specific services, not just "grooming." This helps clients self-select the right appointment type and lets you block the right amount of time. Set up these service types as separate booking options:
| Service | Duration | Notes |
|---|---|---|
| Bath, Brush & Blow Dry | 45–90 min (breed-dependent) | For smooth and short coats, or between full grooms |
| Full Groom | 90–180 min | Bath, dry, cut, nails, ears, and finishing. Most common. |
| De-Shedding Treatment | 60–120 min | For double-coat breeds in spring/fall. High-margin add-on. |
| Nail Trim Only | 15 min | Quick appointment. Good for filling gaps in your schedule. |
| Puppy First Groom | 45–60 min | Longer to allow for a gentler, socialization-focused experience |
| Cat Grooming | 60–90 min | If you offer cat services, separate from dog bookings |

In Calendly, each service type is a separate "Event Type" with its own duration. In MoeGo, services are set up in your Service Catalog. Add a description to each one so clients know what to expect.
Build Your New Client Intake Form
This is the most valuable part of your booking setup. Groomers who use intake forms have fewer surprises, safer appointments, and happier clients. Here are the questions every new client intake form should include:

In Calendly, add these as intake questions in Event Settings → Questions. In MoeGo, set these up as your new client onboarding form. In Acuity, use the Intake Forms feature under Appointment Types.
Set Up Confirmation and Reminder Messages
These messages run automatically. Set them up once and they work forever.

In MoeGo, all of these are built in, you just customize the text and timing. In Calendly, email reminders are built in; SMS reminders require upgrading to the Professional plan ($12/month) or using Zapier + Twilio.
Set Up Breed-Specific Rebooking Reminders
This is where the real revenue is. After every appointment, an automated reminder goes out at the breed-appropriate interval, so Doodles get a 4-week reminder and Labs get a 6-week reminder.
If you're using MoeGo: this is built into the platform. Go to Marketing → Rebooking Reminders and set intervals by service type or breed.
If you're using Calendly: use Zapier to connect Calendly to Mailchimp. When Calendly marks an appointment as completed, Zapier adds the client to a Mailchimp automation sequence based on their breed tag. The sequence sends a rebooking reminder at the right interval.

Don't overthink the segmentation to start. If you use one interval for all breeds (6 weeks is a reasonable default), that's far better than no reminder at all. Refine by breed later.
Put Your Booking Link Everywhere
A booking link is worthless if clients can't find it. Put it in every place a client might look:
| Location | How to Add It |
|---|---|
| Google Business Profile | Add as your Booking URL in profile settings |
| Instagram bio | Replace "contact" link with booking link |
| Facebook Page | Add a "Book Now" button (Page Settings → Action Button) |
| Your website | Embed Calendly widget or add a button to homepage |
| Email signature | "📅 Book online: [link]" |
| Text auto-reply | If you're unavailable, auto-reply with the booking link |

Jamie, Mobile Pet Groomer, Seattle, WA
Jamie ran a mobile grooming van serving about 90 regular clients. All booking was done by text, which meant she was constantly interrupted during grooming sessions to respond to booking requests. She was also losing clients between appointments because she had no automated way to remind them to rebook.
She set up Calendly with a free account, adding an intake form and the 6-breed-segment rebooking reminder automation via Zapier + Mailchimp. Total setup time: one afternoon.
Within 30 days, she had eliminated the "booking by text" chaos entirely. Her no-show rate dropped from 18% to 4%. The rebooking reminders brought in 22 appointments in the first month from clients who hadn't booked in over 8 weeks. She went from a half-full calendar to a 3-week waitlist.
