Why Most Grooming Clients Only Come Back Sometimes
You do a great job. The dog leaves looking fabulous. The owner is thrilled. And then… six months go by before they book again. Not because they were unhappy, because nobody reminded them.
Email marketing is essentially a polite, automated reminder system. Once you set it up, it runs in the background sending the right message at the right time, whether that's a welcome note for a new client, a rebooking nudge at the 6-week mark, or a "your dog might be overdue for a bath" check-in.
Without Email Marketing
- Clients rebook only when they remember
- New clients get no follow-up after first visit
- You manually call or text to fill empty slots
- No way to announce slow-day specials
- Client list sits unused in your booking app
With Email Marketing
- Automated rebooking reminders go out on schedule
- Welcome sequences build loyalty from day one
- Slow day? One email fills your calendar
- Seasonal promotions reach every client instantly
- Your list becomes your most valuable business asset

Create Your Free Mailchimp Account and Audience
Mailchimp (think of it as your email command center) is free for up to 500 contacts, more than enough to get started. "Audience" is just Mailchimp's word for your email list.
Go to mailchimp.com and click "Sign Up Free." Use your business email (not a personal Gmail).
During setup, Mailchimp asks a few questions. Answer honestly, it helps them configure your account correctly:
- Business name: Your grooming salon name exactly as clients know it
- Industry: Pick "Other" → type "Pet Services"
- Audience name: "[Your Salon Name] Clients" works perfectly

💡 Pro Tip
Mailchimp will ask for a physical mailing address, this is legally required for email marketing (CAN-SPAM law). You can use a P.O. box or your salon's address. It shows at the bottom of every email you send.
02
Import Your Existing Client List
You probably have client contact info in your booking app, a spreadsheet, or your phone. Let's get it into Mailchimp.
Option A, Import from CSV (most common):
- Export your client list from your booking software (look for "Export Clients" or "Download CSV")
- In Mailchimp, go to Audience → Add Contacts → Import Contacts
- Upload your CSV file and match the columns (First Name, Last Name, Email)
- Tag these contacts as "Existing Clients", you'll use this later
Option B, Connect Calendly directly: If you use Calendly for bookings, go to Integrations → Mailchimp and connect the two. Every new booking automatically adds the client to your Mailchimp audience. This is the easiest setup.

📋 Important
Only import clients who've given you their email for business purposes. Grooming customers who booked with you have implicitly consented to receive business communications. You don't need a separate opt-in for existing clients, but always include an unsubscribe link (Mailchimp adds this automatically).
03
Build Your 3-Email Welcome Sequence
A welcome sequence is a series of emails that goes out automatically when someone new joins your list. Think of it as a warm handshake that happens even when you're elbow-deep in a golden retriever's bath.
In Mailchimp, go to Automations → Customer Journeys → Start Building. Choose "Welcome new contacts" as your starting point.

Subject: How did [Pet Name]'s first visit go?
Hi [First Name],
We hope [Pet Name] is still enjoying that fresh-groomed feeling!
A quick question: was there anything about your first visit we could improve? We read every reply personally.
Also, here's a grooming tip we share with all new clients:
[Insert one helpful tip: e.g., "Brushing your dog 2–3x per week between appointments keeps mats from forming and makes each grooming session faster (and cheaper for you!)"]
Ready to book [Pet Name]'s next appointment? We recommend every [6–8] weeks for [breed] to keep their coat in great shape.

Hi [First Name],
It's been about 5 weeks since [Pet Name]'s last visit, which means their coat is probably starting to need some attention!

Set Up Your Pre-Appointment Care Tips Email
This one is a small touch that clients absolutely love: a short email 24–48 hours before their appointment with a tip or two to prepare their pet. It reduces no-shows and makes your job easier.
If you use Calendly, you can automate this with a simple Zapier connection (Zapier is a tool that connects apps so they talk to each other):
- Go to zapier.com and create a free account
- Click "Create Zap" → Search for "Calendly" as the trigger app
- Choose trigger: "Invitee Created" (fires when someone books)
- Add action: "Mailchimp → Add/Update Subscriber" with a tag "Upcoming Appointment"
- In Mailchimp, create an automation that sends your care tips email to anyone tagged "Upcoming Appointment", with a 1-day delay before their appointment date
Subject: Quick tips before [Pet Name]'s appointment tomorrow 🐾
Hi [First Name],
Just a friendly reminder that [Pet Name] has an appointment with us tomorrow at [time].
To make the appointment go as smoothly as possible:
✓ Give [Pet Name] a short walk first, it helps them arrive calm
✓ If there are any mats or tangles, don't try to brush them out yourself (you can make them tighter)
✓ Let us know about any sensitive spots or skin issues when you drop off
Anything we should know? Just reply to this email, we'll see it before your appointment.
See you tomorrow!

Launch Your Monthly Newsletter
Once a month, send a short, friendly email to your entire list. This keeps you top-of-mind so when their dog starts looking shaggy, they think of you first, not your competitor down the street.
In Mailchimp, go to Campaigns → Create Campaign → Regular Email. Set up a recurring campaign for the first Monday of each month.
What to include each month (pick 2–3):
- 🐶 One seasonal grooming tip (e.g., "Summer coat care," "Winter paw protection")
- 📸 A photo of a cute client (with permission, most owners love this)
- 🗓️ "We have openings this month" + booking link
- 🎉 Shoutout to new clients or any special milestone
- 💡 A simple pet health tip (defers to their vet for anything medical)
✂️ Keep It Short
The best grooming newsletters are 3–4 paragraphs max. Pet owners are busy people. A short, friendly email gets read. A long one gets archived. Aim for a 2-minute read.

Common Questions
Do I need permission to email my existing clients?
If your clients gave you their email when they booked, you generally have a legitimate business reason to email them. This falls under "transactional" and "relationship" emails. The important thing is that every email has a clear unsubscribe link, Mailchimp adds this automatically. When in doubt, add a line like "You're receiving this because you've visited [Salon Name]" to the footer.
What if I only have 50 clients right now?
That's the perfect time to start. Email marketing compounds over time, every new client you add to your list is a client you can reach for free, forever. Starting with 50 means you'll have the habits and systems in place when you reach 500.
How is this different from texting clients?
Both work well, and ideally you'd do both. Email is better for longer content (newsletters, care guides, seasonal promotions), while text messages are better for day-of reminders and quick confirmations. Tools like
Zapier can automate both from the same booking trigger.
Can I do this with a booking app I already have?
Probably yes. Most booking apps (Vagaro, GlossGenius, 10to8, Acuity, Calendly) either connect directly to Mailchimp or can be connected via Zapier. Check your booking app's "Integrations" page, or see our
Zapier for Pet Groomers guide for a step-by-step walkthrough.
