Create Free ManyChat Account

Go to manychat.com and click "Sign Up." You can register with your Facebook account—which makes the next step easier. ManyChat will ask for permission to manage your page messages. This is normal and required. Click "Allow."

Connect Your Facebook Page

In ManyChat, go to Channels > Facebook. Click "Connect a Page." Select your business page from the dropdown. ManyChat now has access to your page's Messenger inbox. All future messages will flow through ManyChat.

Set Up Your Welcome Message

In ManyChat, go to Automation > Main Menu. This is the message that shows when someone first DMs your page. Write something warm and helpful:

"Hi [First Name]! 👋 Thanks for reaching out to [Business Name]. How can I help you today?"

Add quick-reply buttons below the message. Choose buttons that match your business. Examples:

Build the "Get a Quote" Flow

When someone clicks "Get a Quote," the chatbot asks:

After they answer, ManyChat sends you an email notification with all their info. You follow up with a quote within 24 hours.

Build the "Book an Appointment" Flow

When someone clicks "Book an Appointment," show them a link to your booking tool (Calendly, Acuity, etc.) or ask for their preferred date/time. If you collect info: capture name, email, phone, preferred date. Send that info to you via email.

Set Up Keyword Auto-Replies

Go to Automation > Keyword Triggers. Create replies for these common words:

When someone types "hours": "We're open Mon–Fri, 9am–5pm EST. Closed weekends. What can I help you with?"

When someone types "price": "Pricing varies by project. Tell me more about what you need and I'll send you an estimate. What are you looking for?"

When someone types "hello" or "hi": Trigger the main menu again (this gives them button options).

Define Your Business Hours

Go to Settings > Business Hours. Tell ManyChat your operating hours. During business hours, the chatbot shows your standard menu. Outside hours, show a different message:

"We're closed right now, but I've saved your info. We'll call/email you first thing [tomorrow/Monday] morning."

Test Your Bot

Log out of your business account. From a personal Facebook account (or ask a friend), message your business page. Click every button. Type keywords like "hours" and "price." Make sure everything flows naturally. If something feels off, rewrite it. ManyChat lets you edit in real-time—no restart needed.

Activate and Go Live

Once you're satisfied, toggle the bot to "Active" or "Live." The bot is now live on your page. Every new message triggers your welcome flow automatically.

What You Need to Know

Facebook requires businesses to reply within 24 hours for certain message types. ManyChat's automated responses help you meet this requirement. Your bot replies instantly, showing Facebook you're responsive.

Don't send unsolicited broadcasts. ManyChat lets you send bulk messages to users who've messaged you before. Don't abuse this. Only send broadcasts to people who opted in ("I want offers" or similar). Spam hurts your page's reputation and can get you banned.

Always provide a "Talk to a Human" option. Some conversations need human judgment. Make sure people can request a real person—and make sure your team actually replies when they do.

How to Avoid the Spam Trap

Don't: Send daily "Buy Now" messages to your entire list. This is spam and Facebook will bury your message delivery.

Don't: Automate replies that should be personal. If someone asks about a health concern, a legal issue, or something sensitive, your bot should offer: "This question needs a human touch. What's the best number to reach you?"

Don't: Forget to add the "Talk to a Human" button. Some people are chatbot-averse. Respect that.

Do: Write naturally. Your bot should sound like your business—friendly, helpful, a bit casual if that's your brand.
