Personal Google accounts have basic appointment slots (free). 6 Steps to Set Up Free Appointment Booking
Find Appointment Slots in Google Calendar
Open Google Calendar at calendar.google.com. Click the "+" button or click on any time slot on your calendar. In the event creation popup, you'll see different event types listed at the top, look for "Appointment schedule" (newer interface) or "Appointment slots" (older interface).
If you don't see it, click the blue "More options" button to open the full event editor, it will appear as a radio button option. Select "Appointment schedule" to continue.
Important: If you have a personal Google account and don't see appointment scheduling, it may be limited. The full feature is available with Google Workspace ($6/user/month). If you use Gmail for your business, consider Workspace, it also gives you a professional @yourbusiness.com email address.
Create Your Appointment Schedule
You'll see a setup screen for your appointment schedule. Fill in:
- Schedule name: "30-Minute Consultation" or "Discovery Call" or "Service Booking"
- Appointment duration: 30, 45, or 60 minutes (you can also set custom durations)
- Date range: either "ongoing" (always available) or a specific date range (for a limited-time campaign)
- Your available hours: click each day and set start/end times. You can set different hours per day.
- Buffer time: under "Booking settings," add 10 minutes after each appointment (highly recommended)
Customize Your Booking Page
Click "Open booking page settings" (Workspace users) or view the preview. You can:
- Add a photo and business description
- Set your location or meeting type (Google Meet, phone call, or in-person with address)
- Set a minimum booking notice: "Must book at least 2 hours in advance", prevents last-minute surprise bookings
- Set a maximum daily bookings limit: "No more than 4 appointments per day"
- Add intake form questions: "What do you need help with?" (for consultants) or "What service are you booking?" (for service businesses)
Non-Workspace users will have fewer customization options but the core functionality is the same.
Get Your Booking Link
At the top of your appointment schedule, you'll see a "Copy booking page link" button. Click it. This gives you a link like: calendar.google.com/calendar/appointments/schedules/[ID]. This is your public booking page. Share it everywhere:
- Add it to your email signature: "Book a call with me →" [link]
- Add it to your website as a "Schedule a Consultation" button
- Add it to your LinkedIn profile under "Contact info"
- Share it in proposals: "Ready to get started? Click here to pick a time →"
Test Your Booking Flow
Open a new browser window (or use your phone) and visit your booking link. You'll see a calendar view showing only the times you made available. Pick a time slot, enter a name and email, and submit.
Check these things:
- Did the appointment appear in your Google Calendar?
- Did you get a confirmation email?
- If using Google Meet: is there a meet link in the event?
For in-person or phone appointments: in your booking settings, set location to your address or select "Phone call" and Calendar will collect the caller's phone number. This is especially useful for service businesses (accountants, lawyers, consultants) who do intake calls before in-person appointments.
