Our recommendation for most small businesses: Start with Wave (free) if you do under 20 invoices per month. Upgrade to FreshBooks when you need time tracking, project billing, or Zapier automation. Use QuickBooks only if you have an accountant or need payroll features.
Step-by-Step: Automate Your Invoicing
Go to waveapps.com (free) or freshbooks.com and sign up. Fill in your business name, address, logo, and default payment terms. This takes about 10 minutes.
Set your default payment terms now. Common options:
- Due on Receipt, client pays immediately (best for one-time jobs)
- Net 7, payment due within 7 days (best for service businesses)
- Net 30, payment due within 30 days (standard for B2B)
Most plumbers, contractors, and service businesses do well with Net 7. It's firm but not pushy.
Invoices with a logo get paid 25% faster than plain text invoices. Upload a simple logo, even a text logo made in Canva works. It signals professionalism immediately.

Import or manually add your repeat clients. For each client, save: name, business name, email, phone, billing address. Once saved, you never type this again, just select the client name when creating an invoice.
Next, create reusable service items. These are your standard line items:

With pre-set clients and services, creating a new invoice takes 60 seconds instead of 5–10 minutes. You're just clicking and adjusting quantities.

Go to Settings → Invoice Customization and set up your default template. Key things to configure:
- Logo and colors, add your logo, pick your brand color for headers
- Payment methods, add your bank account, credit card option, Venmo/Zelle if you accept them
- "Pay Now" button, enable this. It adds an online payment link to every invoice you send
- Thank-you note, add a short message: "Thank you for your business! Payment is due within 7 days. Questions? Call [your number]."
Save this as your default template. Every invoice you create from this point forward will use these settings automatically.

This is the most valuable automation. Go to Settings → Reminders and set up three automatic reminder emails:
These reminders send automatically for every invoice. You never have to remember to follow up. The system handles the awkward conversations for you. In our testing, businesses that set up these reminders collected 73% of overdue invoices without any manual intervention.
FreshBooks lets you add an automatic late fee (e.g., 1.5% per month) to overdue invoices. For B2B businesses, this is a powerful incentive for on-time payment and very easy to set up in invoice settings.

If you have clients on a regular billing schedule (monthly maintenance contracts, retainers, subscription services), set up recurring invoices. They generate and send automatically on the right date, you do nothing.
In Wave: Invoices → Create Recurring Invoice. In FreshBooks: Invoices → New Invoice → Set as Recurring.
Configure:
- Client, select the client
- Services, select the monthly service items
- Frequency, Monthly, Quarterly, or custom
- Start date and end date (or "ongoing")
- Auto-send, YES. This means the invoice emails itself.
After this setup, that client's invoice appears in their inbox every month like clockwork. They don't need to ask for it. You don't need to remember to send it.
