Every restaurant loses reservations to unanswered calls and Instagram DMs. Here's how to set up a chatbot that takes reservations and answers menu questions 24/7, even when you're slammed during service.

The Problem: Lost Reservations = Lost Revenue

It's Saturday night. You're doing $8,000 in sales. Your host is at the stand. Your server is behind on tables. Someone calls at 8:45pm asking for a Friday reservation—but nobody answers. They call the place next door. You lost a 4-top worth $120 in food and drinks.

Then there's Instagram. You post a beautiful photo of tonight's special. Someone comments "Can I reserve a table?" or DMs "Do you have vegetarian options?" By the time you see it in the morning, they've already booked elsewhere. Or they never follow up.

The real cost? Not just the lost reservation—it's the lost repeat customers and the bad reviews when people can't reach you. In 2026, if a restaurant doesn't answer within 10 minutes, most people try somewhere else.

The Solution: Two Tools, Two Channels

You'll use two free platforms to capture reservations 24/7:

Tool 1: Tidio (Website Chat)

A chatbot on your website that answers menu questions, provides hours, and takes reservation requests. Works for people who find you on Google at 10pm and want to book a table.

Tool 2: ManyChat (Instagram & Facebook DMs)

An automation tool that replies to comments and DMs on Instagram and Facebook. Someone comments "Reservation?" on your post—they get an instant DM back with your booking link. No manual work.

What You'll Build

Two connected systems:

Section 1: Website Chatbot with Tidio

Use Case

Someone finds you on Google Maps at 10pm Friday. Clicks on your website. You're closed but they see your chat widget. They click it. The chatbot says: "Hi! Welcome to [Restaurant Name]. Can I help you make a reservation or answer questions about our menu?" They click "Make a Reservation." The chatbot asks party size, date, and time. They pick Friday at 7pm for a table of 4. Chatbot confirms and says you'll call to confirm. You wake up Saturday morning, see the lead, and book them in.

Step-by-Step Setup

1

Sign Up for Tidio (Free)

Go to tidio.com and create a free account. The free plan includes up to 200 conversations per month—plenty for a single restaurant.

2

Install on Your Website

For WordPress: Plugins > Add New > search "Tidio" > Install and Activate. Then log in with your Tidio account.

For Wix, Squarespace, or custom site: Ask your web person to add Tidio's code snippet to your site header. Takes 2 minutes.

3

Create Your Restaurant Welcome Flow

In Tidio, go to Automation > Main Menu. Write your greeting:

"Hi! Welcome to [Restaurant Name]. Can I help you make a reservation, answer questions about our menu, or find our hours?"

Add quick-reply buttons:

4

Build the Reservation Flow

When someone clicks "Make a Reservation," the chatbot asks:

Once they've answered, Tidio sends you an email with all their info. Or link directly to your OpenTable, Yelp Reservations, or other booking system if you use one.

5

Build the Menu Path

When someone clicks "See Menu," show a link to your full menu (PDF or online). If you're running a special tonight, include that too: "Tonight's special: Pan-seared salmon with risotto, $24."

6

Add Hours & Location

Display your hours and address. Simple. But this question gets asked constantly.

7

Test and Launch

Visit your website from your phone. Click the chatbot. Test every flow. Make sure the reservation flow captures all needed info. Once it feels natural, toggle it to "Live."

Section 2: Instagram DM Automation with ManyChat

Use Case

You post: "Our signature branzino is back 🐟 Comment RESERVE to grab a Friday table!" Someone comments "RESERVE." They instantly get a DM from your page: "Thanks for your interest! Click here to see availability and book your table → [link]". No manual reply needed. They book. You confirm. Done.

Step-by-Step Setup

1

Create ManyChat Account and Connect Instagram

Go to manychat.com. Sign up for free. Connect your Instagram business account (you'll be prompted to log in and grant permissions).

2

Create a Keyword Trigger

In ManyChat, go to Automation > Comment Triggers. Set up a trigger for the word "RESERVE" (or any keyword you choose). When someone comments "RESERVE," ManyChat will automatically send them a DM.

3

Write the Auto-Reply Message

ManyChat's DM message:

"Thanks for your interest! 🎉 Click the link below to see our availability and book your table: [OpenTable Link]"

4

Create Other Keyword Triggers

Set up additional triggers for common questions:

5

Test Your Flows

Log out of your Instagram business account. From a personal account (or ask a friend), comment "RESERVE" on your post. You should get an instant DM from your page. If it works, you're set.

When to Use Which Tool

Use Tidio (Website Chat) When:

Someone finds you on Google, visits your website, and wants to make a reservation or ask questions. This is people actively searching for your restaurant.

Use ManyChat (Instagram/Facebook) When:

You're engaging with people who already follow you on social media. They see a post, feel inspired, and want to book. Low friction, instant reply, high conversion.

Run both simultaneously. They serve different traffic sources. Together, they ensure you capture every reservation inquiry—no matter where your customer finds you.

Pro Tips to Get the Most Out of Your Chatbots

How to Avoid the Spam Trap

What NOT to Do

Don't: Send unsolicited broadcasts to every follower ("Hey everyone, come dine with us tonight!"). Instagram and Facebook will flag this as spam and hurt your reach.

Don't: Over-automate. Always provide a way for people to reach a real person. If the chatbot can't answer, offer: "I'll connect you with our team. What's your phone number?"

Don't: Copy-paste generic replies. Write like your restaurant's voice—friendly, human, warm.

Do: Use keyword triggers only. Respond to comments and DMs naturally. Only automate the most common, predictable conversations.
