Connect your billing or booking tool to Zapier. When invoice is paid or job is marked complete → Zapier sends an email (or text via Twilio). Near-free, fully customizable, works with any software.
Dedicated review management platforms. Handle requests, monitor and respond to reviews across Google, Yelp, and more in one inbox. More powerful but pricier.
Many industry-specific tools (Vagaro for salons, Housecall Pro for contractors, Jane for healthcare) have built-in review request features. Check your current software's settings first, you may already have this.
The Zapier + email method, works for any business, costs almost nothing.
First, find the direct link that takes customers straight to the "write a review" box on your Google Business Profile. The easiest way: search Google for your business name, find the Knowledge Panel on the right side of the results, click "Write a review," then copy the URL from your browser's address bar. This is the link you'll include in every review request. Shorten it with bit.ly if you're sending texts.
💡 Alternative method: Go to Google Business Profile manager (business.google.com), click your location → "Get more reviews" → copy the short link they provide. This is the cleanest method.
A trigger is the event that kicks off the review request. The best triggers: (1) Invoice marked "paid" in FreshBooks, QuickBooks, or Wave, customer clearly received service and paid, (2) Appointment marked "complete" in Calendly, Acuity, or Vagaro, (3) Job marked "complete" in Jobber or Housecall Pro. Pick whichever your main software supports and most naturally signals "happy customer, good time to ask."
⏱ 5 minutes to decideIn Zapier, click "Create Zap." Set the Trigger app (e.g., FreshBooks → Invoice Paid) and connect your account. Set the Action app: for email, use Gmail or your email provider and choose "Send Email." For text messages, use Twilio (about $0.0079/text, practically free) and choose "Create Message." The only fields you need: the customer's email/phone (pulled from the trigger data) and your message template.
Add a Delay step between trigger and action, set it for 1–2 days. You don't want to ask for a review 30 seconds after collecting payment. Give customers time to experience your service.
Your review request message should be: short, personal, and give a direct link. The research is clear, shorter texts get more reviews than long ones. Don't explain what Google is. Don't give instructions. Just ask, say why it matters, and link. See the copy-paste templates in the next section.
⏱ 10 minutesIn Zapier, click "Test" to run the automation with real data and confirm the message sends correctly. Check the email/text looks right. Then turn on the Zap. Check your Google Business Profile weekly for the first month. You should see reviews appearing within days of activation. Most businesses hit their first new review within a week.

⚠️ Don't do these things: Never offer a discount or gift in exchange for a review (against Google's policies). Never only send requests to customers you think will leave 5 stars, this is called "review gating" and violates Google's guidelines. Send to all customers equally.
