How to Set Up a Chatbot for Your Small Business (Step by Step)

What is a Chatbot? (Plain English)

A chatbot is software that automatically answers messages on your website, Facebook page, or Instagram, 24 hours a day, even when you're asleep. Think of it as a front desk assistant that never takes a break, never calls in sick, and works for free.

When someone messages your business with "Are you open on Sunday?" or "How much does a haircut cost?", your chatbot replies instantly with the answer. No human waiting around at midnight. No missed leads because you were closed.

Before You Start: Quick Checklist

  • What questions do customers ask most often? Write down 5–10 of them. (Examples: "Are you open Sunday?" "Do you do walk-ins?" "What's your price?")
  • What do you want the chatbot to do? Answer FAQs / Collect leads / Book appointments, or all three.
  • Where do you want it to live? Your website, Facebook, Instagram, or WhatsApp. Start with one.

Create a Free Tidio Account

Go to tidio.com and click "Get started free" in the top right. Sign up with your email or Google account.

Tidio will ask what you want to do. Choose "Capture leads & support customers."

That's it. You now have a free Tidio account with 1 chatbot and 100 conversations per month included.

Connect Tidio to Your Website

How you connect depends on what website platform you use. Pick your option:

Option A: WordPress

Search for "Tidio" in Plugins → Add New. Click Install, then Activate. Done.

Option B: Squarespace

Go to Settings → Advanced → Code Injection. Copy the code snippet from Tidio's dashboard. Paste it in the header section. Save.

Option C: Wix

Go to Wix App Market. Search "Tidio." Add the app. It will walk you through connecting.

Option D: Other Websites

Tidio will give you a small snippet of code. Copy it. Go to your website's settings (usually under Settings or Advanced). Find "Code Injection" or "Custom Code." Paste the code before the </body> tag. Save.

Plain English: The </body> tag is just a tiny line of code at the very bottom of your website. Most website builders let you add code without understanding it, just copy, paste, and save.

Set Up Your Welcome Message

Log into Tidio. Go to Chatbots → Create new chatbot. Choose the "Lead generation" template to get started faster.

Now edit the welcome message. Here's a template:

"Hi! I'm [Your Business Name]'s virtual assistant. I can answer questions, give you pricing info, and help you book an appointment. How can I help you today?"

Below that, add Quick Reply buttons. Make it easy for customers to choose:

Answer the Top 5 Questions

This is where the magic happens. Fill in your actual business details:

Hours

"We're open Monday–Friday 9am–6pm and Saturday 10am–4pm. We're closed Sundays."

Pricing

"Our services start at $[amount]. For a personalized quote, I can take your info and we'll follow up within 2 hours."

Location

"We're at [full address]. Street parking is free after 5pm, or paid lot parking [details]."

What You Offer

"We specialize in [services]. Most popular: [top 3 services]."

How to Book

"You can book online at [your link] or I can collect your info right here and someone will call you to confirm."

Decision Trees Explained: You're basically building a "choose your own adventure" for customers. They tap a button → it leads to the right answer. No dead ends. No confusion.

Set Up the Lead Capture Flow

Create a simple sequence:

  1. Chatbot asks: "Would you like us to contact you?"
  2. If yes → collect their name, email, phone number
  3. Automatically email you the lead info

In Tidio, go to Settings → Notifications. Enter your email address. Now every time someone leaves their contact info, you'll get an instant email.

Set Up After-Hours Messages

This is one of the most powerful features. When someone messages at 2am, they still get a response.

Go to Tidio → Settings → Business hours. Enter your normal hours (e.g., 9am–6pm, Monday–Friday).

Set your after-hours message:

"We're closed right now but we'd love to help! Leave your name and number and we'll call you first thing tomorrow."

This single feature has captured more leads for our customers than anything else. Why? Most small businesses ignore nighttime messages. Your chatbot won't.

Test Your Chatbot

Open a new incognito or private browser window (Ctrl+Shift+N on Windows, Cmd+Shift+N on Mac). This makes sure you're seeing what real customers see, not cached versions.

Go to your website. Find the chat box (usually bottom right). Talk to your own chatbot as if you were a customer:

If something doesn't work, go back into Tidio and fix it. This is normal. Nobody gets it perfect on day one.

Go Live and Monitor

In Tidio, click "Activate chatbot." It's now live on your website.

For the first 2 weeks, check your Tidio inbox daily. Look at the "Conversations" tab. See what real customers are asking:

Add answers to those questions. You're training your chatbot to be smarter every single day.
