What Exactly Is Zapier? (Plain English)
Imagine you hired a very patient, very precise assistant whose only job was to watch for things to happen and then do a set task in response. That's Zapier.
Each "Zap" has two parts: a Trigger (something that happens, like a new booking) and one or more Actions (things Zapier does in response, like sending an email). You set it up once, and it runs automatically forever.
You don't write any code. You fill in forms and click through menus, like setting up a Facebook post, just for automation.

Calendly already sends a basic confirmation, but it's generic. This Zap sends your branded version, with your shop name, address, parking instructions, and what to bring. It makes you look professional and sets expectations before the appointment.

💡 Zapier Tip
Zapier's delay feature can be set to "Delay Until" a specific datetime. Use Zapier's formatter tool to calculate "appointment start time minus 24 hours" automatically. This is the trickiest part of this Zap, if you get stuck, see our free setup consultation.
This is the Zap that transforms your Google reviews. Most shops with 20+ reviews actively ask for them. The 3-hour delay is strategic: by then, the customer is home, they've told a family member how the car looks, and they're at peak satisfaction. That's the window to ask.

Common Questions
What if I don't use Calendly for bookings?
Zapier works with hundreds of booking tools, Acuity, Square Appointments, Booksy, and most shop management software. When you create your Zap, just search for your booking tool's name. If it's in the list (and most popular tools are), the setup is almost identical to what's described above.
I'm worried about sending customers too many emails. Is this too much?
The 4 Zaps above send a maximum of 3 emails per service visit: a confirmation, a reminder, and a review request. That's entirely normal for service businesses, customers expect confirmations and reminders. The key is that each email has a clear purpose and genuine value. You're not blasting promotional content at them.
Do I need to pay for Zapier?
