Go to zapier.com, click "Sign up free." Connect with your Google account for the easiest setup.
Your dashboard shows "My Zaps", this is your command center. Click "Create Zap" to start building. Zapier will walk you through: 1) Choose your Trigger app → 2) Choose the event → 3) Choose your Action app → 4) Choose what it does → 5) Test it.

Many plumbers use a Google Form as a simple job intake form. Here's how to connect it to Gmail:
TRIGGER: Google Forms, "New Response in Spreadsheet"
ACTION: Gmail, "Send Email"
Setup:
- Create a Google Form with fields: Customer Name, Phone, Address, Problem Description
- In Zapier, connect Google Forms (link to your spreadsheet)
- Map the fields: To = {{Email}}, Subject = "Your appointment is confirmed, [Business Name]", Body = "Hi {{Name}}, thanks for reaching out! We've received your request and will call you within 2 hours to confirm your appointment time. Your address: {{Address}}. Problem: {{Problem}}., [Your Name]"
- Test it by submitting a test form

TRIGGER: Google Sheets, "New Row" (you add a row when a job is complete)
ACTION: Gmail, "Send Email" (or use Mailchimp to send SMS if you have Podium)
Setup:
- Create a Google Sheet called "Completed Jobs" with columns: Customer Name, Email, Date, Job Type
- In Zapier, connect Google Sheets → Gmail
- Trigger: "New row added to Completed Jobs sheet"
- Email template: Subject: "Quick favor, could you leave us a Google review?" / Body: "Hi {{Name}}, great working with you today on your {{Job Type}}. If we did a good job, a Google review takes 60 seconds and really helps our small business: [YOUR GOOGLE REVIEW LINK], Thanks, [Your Name]"
- Send 24 hours after row is added (use Zapier's "Delay" step)
