The real estate agent who responds first wins 78% of the time
Studies of real estate leads consistently show that 78% of buyers and sellers go with the first agent who responds to their inquiry, not the most experienced, not the one with the best reviews. The first one. Speed wins.
The problem: most agents are with clients, in showings, or driving when a new lead comes in. By the time they see it and respond, 2–4 hours have passed and the prospect has already called someone else.
Zapier (think of it as a digital assistant that connects your apps together) solves this. When a lead comes in from Zillow, your website, or a Facebook ad, Zapier can immediately: add them to your CRM, send them a text from you, send you a phone notification, and start a follow-up email sequence, all within 60 seconds, automatically.
This tutorial covers the 10 most valuable Zapier automations for real estate agents, from basic to advanced. Start with whichever addresses your biggest pain point and add more over time.

How to build the instant lead response Zap (the most important one)
Let's walk through Zap #1, the instant lead response, step by step. This is the one that will have the biggest immediate impact on your business.
Create a free Zapier account
Go to zapier.com and sign up for free. The free plan gives you 100 tasks per month and 5 active Zaps, enough to start and test. When you're ready to scale, the Starter plan at $19.99/month gives you unlimited Zaps and 750 tasks/month.

Set your trigger: new Zillow lead (or website inquiry)
Click "Create Zap." In the Trigger section, search for "Zillow" or your website form tool (Gravity Forms, Typeform, Contact Form 7, etc.). Select the app and choose the trigger event, "New Lead" or "New Form Submission."
Connect your account by logging in when Zapier prompts you. Then test the trigger, Zapier will pull in your last few leads to confirm it's connected correctly.

Set your action: send a text message
In the Action section, search for "Twilio" (a text message service, starts at $1/month per number). Connect your Twilio account, then set up the message.
In the "To" field, select the lead's phone number from the Zapier data (it was pulled from your trigger). In the "Body" field, write your message:
"Hi [first_name], this is [Your Name] from [Brokerage]. Thanks for your interest in [property address]! I'm looking at the details now and would love to answer your questions. Is now a good time to chat, or would you prefer I call later today?"
Map the [first_name] and [property address] variables by clicking the "+" button in the text field and selecting them from your trigger data.
Add a second action: add lead to your CRM
Click the "+" button to add another action to the same Zap. Search for HubSpot (or Follow Up Boss, KVCore, or whatever CRM you use). Select "Create Contact" as the action.
Map the lead's name, email, phone, and property of interest from your trigger data to the CRM fields. Now every new lead is automatically both texted immediately AND added to your CRM, no manual data entry required.

Test and turn on your Zap
Click "Test" on each step to verify it works. Zapier will actually send a test text to you (use your own number in the test) so you can see exactly what the lead will receive. Once everything looks good, click "Turn on Zap."
From now on, every new lead from that source will receive a text message from you within 60 seconds, automatically, while you're in showings, asleep, or on vacation.
How an Atlanta Agent Gained 10 Hours a Week and Increased Her Lead Response Rate to 94%
Jessica is a solo agent in Atlanta closing 40–50 deals a year. She had leads coming in from Zillow, her website, Facebook, and open house sign-ins, and was manually copying every lead into HubSpot, then texting them when she had a free minute. She estimated she was losing 3–4 leads per month to competitors who responded faster.
She set up 5 Zaps over one Saturday morning. Instant text response for Zillow and website leads. Open house sign-in form connected to CRM and follow-up email. Closing anniversary emails to past clients. Four months later, she closed 2 deals she directly attributes to faster follow-up, one buyer said "you were the only one who texted back in under an hour."
