Set your trigger: new Zillow lead (or website inquiry)

Click "Create Zap." In the Trigger section, search for "Zillow" or your website form tool (Gravity Forms, Typeform, Contact Form 7, etc.). Select the app and choose the trigger event, "New Lead" or "New Form Submission."

Connect your account by logging in when Zapier prompts you. Then test the trigger, Zapier will pull in your last few leads to confirm it's connected correctly.

Set your action: send a text message

In the Action section, search for "Twilio" (a text message service, starts at $1/month per number). Connect your Twilio account, then set up the message.

In the "To" field, select the lead's phone number from the Zapier data (it was pulled from your trigger). In the "Body" field, write your message:

"Hi [first_name], this is [Your Name] from [Brokerage]. Thanks for your interest in [property address]! I'm looking at the details now and would love to answer your questions. Is now a good time to chat, or would you prefer I call later today?"

Map the [first_name] and [property address] variables by clicking the "+" button in the text field and selecting them from your trigger data.

💡 No Twilio? You can also use Gmail to send an email instead. Email response is slightly lower than text, but still dramatically better than 4-hour manual follow-up. Replace the Twilio action with Gmail and adjust the message accordingly.

Add a second action: add lead to your CRM

Click the "+" button to add another action to the same Zap. Search for HubSpot (or Follow Up Boss, KVCore, or whatever CRM you use). Select "Create Contact" as the action.

Map the lead's name, email, phone, and property of interest from your trigger data to the CRM fields. Now every new lead is automatically both texted immediately AND added to your CRM, no manual data entry required.
