Step-by-Step Tutorial
Create Your Free Zapier Account
Go to Zapier.com and sign up for free. The free plan gives you 5 Zaps, enough for this whole tutorial.
- Sign up with your Google or email account
- On the dashboard, click "+ Create Zap"
- In the search bar, type the name of your booking software (Acuity, Vagaro, Booksy, Square Appointments)
- Select your app and click "Connect", you'll log in to authorise Zapier to read your bookings
When a client books an appointment, Zapier automatically sends them a friendly confirmation text. They feel taken care of, and you don't have to do anything.
How to build this Zap:
- Trigger app: Select your booking software → Event: "New Appointment"
- Action app: Search "SMS by Zapier" (free) or connect Twilio
- In the message field, type your confirmation template (below)
- Map the client's phone number from your booking app
- Test the Zap, book a test appointment and check your phone
