WhatsApp Business chatbot setup for small business
WhatsApp has over 2 billion active users. Chances are, your customers are already on it. A beauty salon owner in Miami told us she went from missing 40% of her weekend inquiries to capturing every single one, just by setting up the free WhatsApp Business app with automated replies. Here's exactly how she did it, and how you can too.

What Is WhatsApp Business? (Plain English)

WhatsApp Business is a free app made specifically for small businesses. It's the same WhatsApp your customers already use to text friends, but with extra features designed for businesses: an official business profile, automated messages, quick reply shortcuts, and conversation labels. Think of it like a smarter, more professional version of your current business phone.

WhatsApp Business automation means setting up the app to automatically respond to customers when you're busy or sleeping. Instead of a customer sending "what are your hours?" at 11pm and getting no reply, they instantly get your hours, your booking link, and a friendly message, all while you're asleep.

Step-by-Step Setup Guide

1

Download and Install WhatsApp Business

Go to your phone's app store (iOS App Store or Google Play) and search for "WhatsApp Business." Download the free app. Important: WhatsApp Business is a separate app from regular WhatsApp. You can run both on the same phone.

When you open it for the first time, it'll ask for a phone number. Use your business number, not your personal number. If you only have one phone number, you can still use it; just know it'll be tied to your business profile.

Pro Tip: If you want to keep your personal and business chats completely separate, get a free Google Voice number for your business WhatsApp. It's free and takes 5 minutes to set up.
2

Set Up Your Business Profile

This is your digital business card inside WhatsApp. Fill in every field, it builds trust with customers and helps you appear in WhatsApp searches. Go to: Settings → Business Tools → Business Profile

3

Create Your Greeting Message (The 24/7 Welcome)

A greeting message fires automatically the first time a new customer messages you, or when they message after 14 days of no activity. This is your first impression. Go to: Settings → Business Tools → Greeting Message

Turn it on, then tap "Message" to edit it. Here's a template that works for most local businesses:

Greeting Message Template

"Hi [customer name] 👋 Thanks for reaching out to [Business Name]! We're excited to connect with you.

We typically reply within [X hours/minutes]. In the meantime, here's what most people ask us:

📍 We're located at [address]
🕐 Hours: [hours]
💰 Pricing: [link or brief description]
📅 Book online: [booking link]

What can we help you with today?"

💬Screenshot: WhatsApp Business greeting message settings screen
Pro Tip: Include your most important link (booking, menu, or pricing page) right in the greeting. Most customers won't ask for it, but they'll click it if it's there.
4

Set Up Your Away Message (After-Hours Automation)

This is the message customers get when they text you outside of business hours. Go to: Settings → Business Tools → Away Message. Turn it on. Under "Schedule," choose "Custom Schedule" and set your off-hours. Here's a template:

Away Message Template

"Thanks for your message! We're currently closed but we'll get back to you first thing when we open at [time].

If it's urgent, here's how to reach us:
📞 Call: [phone number]

Or book directly online (available 24/7):
📅 [Calendly/booking link]

We look forward to connecting soon!"

Create Quick Replies for Common Questions

Quick Replies are keyboard shortcuts, type "/" followed by a shortcut and the full message pops up. This isn't automated (you still tap to send), but it cuts your reply time from 2 minutes to 5 seconds per message. Go to: Settings → Business Tools → Quick Replies

Here are the 5 quick replies every small business needs:

ShortcutTriggerQuick Reply Content
/hoursWhat are your hours?Your full hours + holiday schedule
/priceHow much does it cost?Your pricing or price range + booking link
/bookHow do I book?Your Calendly/booking link + quick instructions
/addressWhere are you located?Full address + Google Maps link
/thanksAfter completing a jobThank you note + review request link

6

Set Up Labels to Organize Conversations

Labels are color-coded tags you apply to conversations so you never lose track of a lead. Go to: Settings → Business Tools → Labels or tap the label icon inside any chat. Create these 5 labels:

Pro Tip: At the end of each day, spend 5 minutes going through "Follow Up" labels and sending a quick check-in. This alone recovers 20–30% of leads that would have gone cold.
7

Level Up: Connect ManyChat for Full Automation

The 6 steps above use WhatsApp Business's built-in tools, they're free and powerful. But if you want fully automated conversations (keyword triggers, multi-step booking flows, lead capture forms), you need to connect ManyChat.

ManyChat (see our ManyChat review) connects to WhatsApp Business API and lets you build flows where the bot handles the entire conversation. Here's how to set up a basic booking flow:

  1. Sign up for ManyChat at https://manychat.com/?utm_source=mainstreetai&utm_medium=affiliate, free plan works for this
  2. In ManyChat, go to Settings → Channels → WhatsApp and connect your WhatsApp Business account
  3. Go to Automation → New Flow and name it "Booking Flow"
  4. Set trigger: "When someone sends the word book or appointment"
  5. Add a Message step: "Great! I can help you book. What service are you interested in?"
  6. Add a Quick Reply with your service options (e.g., Haircut, Color, Blowout)
  7. After they choose, send: "Perfect! Here's my booking link: [Calendly link from Calendly setup guide]"
  8. Add final message: "I'll send you a reminder 24 hours before your appointment. See you soon! 🎉"

Pro Tip: Set up a "STOP" keyword that immediately removes someone from your automation and flags them for personal follow-up. This is good practice and required by WhatsApp's terms of service.
8

Test Everything and Go Live

Before telling your customers, test every flow yourself. Grab a friend's phone and run through every scenario:

Once everything checks out, it's time to promote your WhatsApp number. Add it to: your Google Business Profile, your website footer, your email signature, your Instagram bio, and any printed materials you have.

Frequently Asked Questions

Do I need a separate phone number for WhatsApp Business?

No, you can use your existing business number. However, that number will be exclusively tied to WhatsApp Business (you can't use it for regular WhatsApp at the same time). Many business owners use a Google Voice number for their WhatsApp Business so they can manage it from any device.

Is WhatsApp Business free?

The WhatsApp Business app is completely free. ManyChat has a free plan that covers basic automation. You'd only pay if you upgrade to ManyChat Pro ($15/month) for advanced features, or if you need the WhatsApp Business API for sending broadcast messages at scale.

Can I use WhatsApp Business on a computer, not just my phone?

Yes! WhatsApp Business has a desktop app for Mac and Windows, plus a web version at web.whatsapp.com. You can link up to 4 devices to one WhatsApp Business account. This is great if you have a receptionist who manages messages from a computer.
