Step-by-Step Setup Guide
Download and Install WhatsApp Business
Go to your phone's app store (iOS App Store or Google Play) and search for "WhatsApp Business." Download the free app. Important: WhatsApp Business is a separate app from regular WhatsApp. You can run both on the same phone.
When you open it for the first time, it'll ask for a phone number. Use your business number, not your personal number. If you only have one phone number, you can still use it; just know it'll be tied to your business profile.
Set Up Your Business Profile
This is your digital business card inside WhatsApp. Fill in every field, it builds trust with customers and helps you appear in WhatsApp searches. Go to: Settings → Business Tools → Business Profile
- Business name: Your actual business name (this is permanent after 30 days)
- Category: Pick the closest match (Beauty, Health, Retail, etc.)
- Description: 2–3 sentences. What you do, who you serve, what makes you different.

- Hours: Set your real business hours, these show on your profile

Create Your Greeting Message (The 24/7 Welcome)
A greeting message fires automatically the first time a new customer messages you, or when they message after 14 days of no activity. This is your first impression. Go to: Settings → Business Tools → Greeting Message
Turn it on, then tap "Message" to edit it. Here's a template that works for most local businesses:

This is the message customers get when they text you outside of business hours. Go to: Settings → Business Tools → Away Message. Turn it on. Under "Schedule," choose "Custom Schedule" and set your off-hours. Here's a template:

Create Quick Replies for Common Questions
Quick Replies are keyboard shortcuts, type "/" followed by a shortcut and the full message pops up. This isn't automated (you still tap to send), but it cuts your reply time from 2 minutes to 5 seconds per message. Go to: Settings → Business Tools → Quick Replies

Set Up Labels to Organize Conversations
