Getting Started

First: Create Your Free Zapier Account

  1. Go to zapier.com and click "Sign up free"

  2. Connect your Gmail account
    In Zapier, click "My Apps" โ†’ "Add Connection" โ†’ choose Gmail (or Outlook). Sign in and grant permission. This is the account you'll use to send automated emails to your clients.

  1. Create a new Zap, Trigger: Calendly โ†’ "Invitee Created"
    In Zapier, click "Create Zap." Set the trigger app to Calendly and the event to "Invitee Created." Connect your Calendly account and test by booking a fake appointment with your own email.
  2. Set the Action: Gmail โ†’ "Send Email"
    In the "To" field, use the data picker to select the invitee's email from Calendly (not your own email). Use the subject and body template below.

    Same trigger as Zap 1. You'll set a different delay and email body.
  2. Add a Delay step: "Delay Until" 24 hours before event start
    Between the trigger and the Gmail action, add "Delay by Zapier" โ†’ "Delay Until." Use the Calendly event start time field and set it to 24 hours prior. This is what sends the email the morning before, not immediately.

  1. Get your Google Review link first
    Go to your Google Business Profile โ†’ click "Get more reviews" โ†’ copy the direct link. It looks like: g.page/[yourbusiness]/review. Paste it into the email below. If you don't have a Google Business Profile yet, set one up free at google.com/business first.

    Same trigger. This time, add a delay set to the appointment END time (not start time). In Zapier's delay setup, use the Calendly "Event End Time" field.
