What is Zapier? (Plain-English Explanation)
Zapier connects apps that don't normally talk to each other. You create rules called "Zaps" that say: "When [this] happens in [App A], automatically do [this] in [App B]."
You don't need to know how to code. You build Zaps by clicking through menus and choosing options, it takes about 10–15 minutes to set up each workflow. Once it's running, you never touch it again.
Example: When a new form submission comes in on your website (App A = Typeform or Google Forms), Zapier automatically sends a welcome email from your Gmail (App B = Gmail). You set it up once. Every future inquiry gets that email instantly, whether you're in the middle of a ceremony, on the road to a venue, or asleep.

Zap #1, Instant Inquiry Response
⏱ Setup time: ~15 minutes | Runs: Every time a new inquiry comes in
Right now, every couple who fills out your inquiry form is also filling out 3–5 other wedding planner inquiry forms. The first planner to respond wins the conversation. This Zap makes you first, automatically.

💡 Why This Works
The average response time to a wedding inquiry is 8 hours. This Zap makes you respond in under 60 seconds. Couples who get an instant, warm, professional response are significantly more likely to book a discovery call, even if your prices are higher than competitors.

Zap #2, Wedding Date Milestone Reminders
⏱ Setup time: ~25 minutes | Runs: Automatically based on wedding date
Your clients need reminders at key milestones before their wedding. This Zap sends the right email at the right time, without you having to track every upcoming wedding manually.
Note: This Zap uses Zapier's "Schedule" trigger combined with a Google Sheet where you log each wedding's date and client email. This is the most flexible approach.

→
Send Milestone Email
Steps to build it:
- Create a Google Sheet with columns: Client Name, Email, Wedding Date, Partner Name
- In Zapier, set the trigger to "Schedule by Zapier" → Every Day at 9am
- Add a Google Sheets action to look up rows
- Add a Zapier "Filter" step to only continue if the wedding date is exactly 180 days away (6 months), 90 days, 42 days, or 14 days
- Build a separate Zap for each milestone, each with its own email template
6-Month Check-In Email, Subject: 6 months to go, let's talk timeline! 🗓️
Hi [Client Name],
Six months from today you'll be married! 🎉
Here's what we need to confirm this month:
✓ Final vendor contracts signed and deposits paid
✓ Ceremony and reception timeline drafted
✓ Guest RSVP deadline set (we recommend 8 weeks before the wedding)
✓ Accommodation block confirmed for out-of-town guests
I'll reach out this week to schedule our 6-month planning call. In the meantime, reply to this email with any questions, I'm always here.
So excited for you both!

📅 The 4 Milestone Emails
Build four separate Zaps, one for each milestone. 6 months: vendor + timeline check. 3 months: final vendor confirmations + guest count. 6 weeks: day-of logistics + vendor contact sheet. 2 weeks: final timeline, emergency contacts, and a personal "we've got this" message. Clients consistently tell planners these emails are one of their favourite parts of the service.

You email a florist on Monday. It's Wednesday and you still haven't heard back. This Zap automatically sends a polite follow-up email if a vendor doesn't confirm within 48 hours, so no vendor ever falls through the cracks.

Post-Wedding Review, Subject: It was an honour, one small favour? 💛
Hi [Client Name] & [Partner Name],
I hope you're still floating from your beautiful day! Planning your wedding was an absolute honour, and I'm so thrilled with how everything came together.
I have one small favour to ask: would you mind leaving us a Google review? It takes about 2 minutes and genuinely helps other couples who are looking for a planner find us.

⭐ Results Wedding Planners See
Wedding planners using this workflow typically collect 1–2 reviews per wedding, one from the couple and sometimes one from a key family member. Over a 20-wedding season, that's 20–40 new Google reviews. Most wedding planners who implement this workflow see their review count double within the first 6 months.
What These 4 Zaps Typically Deliver
8+Hours saved per week
3×More Google reviews
0Missed vendor follow-ups
These numbers are typical for wedding planners who implement all 4 workflows. Your results will vary based on inquiry volume and event load.

Common Questions
Do I need to know how to code to use Zapier?
Not at all. Zapier is built for non-technical users, you set everything up by clicking through menus and choosing options. If you can send an email and use a spreadsheet, you can set up every workflow in this guide.
Is Zapier free for wedding planners?
Zapier's free plan supports up to 100 tasks per month and 5 active Zaps, more than enough to run all 4 workflows if you're planning under 20 weddings per year. The paid Starter plan at ~$20/month removes those limits if you need more.
What if I use a different booking system, does Zapier still work?
Zapier integrates with 5,000+ apps including HoneyBook, 17hats, Studio Ninja, Dubsado, Aisle Planner, and every major email and CRM platform. If you have a specific system you're not sure about,
